A practical way to organise final logos, colours and reusable campaign assets before a team starts publishing.
One approved source beats another folder
A brand asset workflow should make it obvious which logo, colour values and files are approved. Reputifly Forge is part of our software offering; this guide describes the approval process to establish around brand assets. Confirm the current product capabilities and access arrangements with the team.
Build a small asset register
- Logo: light, dark and compact variants, with the approved original file.
- Colours: exact values and combinations that remain readable.
- Typography: font names, available weights and licensing responsibility.
- Images: approved originals, usage permission and intended context.
- Templates: the current version and an owner for future changes.
Give every file a status
Separate draft, review and approved states. A filename containing “final” is not sufficient when several people can upload a newer version. Record who approved the asset, when and where it may be used. Archive superseded versions without leaving them in the folder used for new campaigns.
Run a publication check
Before a website or campaign goes live, compare its logo, colour treatment and important images against the approved register. Check both light and dark backgrounds. Verify small-screen legibility and make sure a compressed export has not damaged text or fine detail.
Hand over responsibility
Name the person allowed to approve changes and the person responsible for replacing old files. Keep a change log when a new identity is introduced. These controls are useful whether the team uses a dedicated portal or a carefully managed shared folder.
